This Privacy Policy describes how Rokr Solutions Inc., doing business as Invoice Blaze ("Invoice Blaze," "we," "us," or "our"), collects, uses, stores, and discloses personal information when you interact with our products and services.

Rokr Solutions Inc. is incorporated in Canada and is committed to handling personal information in accordance with applicable Canadian privacy legislation, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

2. Scope of This Policy

This policy applies to personal information collected through:

  • Our marketing website at invoiceblaze.com
  • Our web application at app.invoiceblaze.com
  • Our mobile applications for iOS and Android
  • Any related communications, such as support emails or feedback

Together, these are referred to as "the Service." This policy does not apply to third-party websites, products, or services linked from the Service, each of which is governed by its own privacy terms.

3. Our Role in Relation to You

How we handle your information depends on your relationship with Invoice Blaze:

  • Account holders (Customers): If you sign up for an Invoice Blaze account, we decide how your account information is used in order to provide the Service to you. This includes your login credentials, business profile, and app settings.
  • Invoice recipients (End-Clients): If you receive an invoice, estimate, or other document from an Invoice Blaze customer, we generally handle that information on behalf of the customer who created the document. Your name, email, address, and other details appearing on those documents are provided by the customer, not collected directly by us.

If you are an invoice recipient and have questions about how your information is used, or wish to request access or deletion, you should generally contact the business that issued the document. If you are unable to reach them, you may contact us and we will make reasonable efforts to assist.

4. Information We Collect

We may collect the following categories of information, depending on how you interact with the Service:

Account information

Email address, password (stored as a cryptographic hash), and authentication identifiers used to verify your identity and secure your account.

Business profile information

Business name, address, phone number, email, tax identification numbers (for example, EIN, VAT number, ABN, or GSTIN), and business logo. You provide this information to configure how your documents appear.

Client and document data

Information you enter to run your business, which may include client names, email addresses, mailing addresses, phone numbers, invoices, estimates, credit notes, receipts, line items, tax amounts, payment statuses, project details, time entries, and notes.

Payment and subscription information

If you subscribe to a paid plan, we may receive limited billing-related details from our payment and subscription providers, such as plan type, subscription status, transaction identifiers, renewal dates, and receipt metadata. See Section 8 for more detail.

Device, log, and diagnostic information

Information collected automatically when you use the Service, which may include IP address, browser type, app version, operating system, device type, crash logs, performance diagnostics, and general usage patterns.

Support communications

Emails, support requests, bug reports, and feedback you send to us, including any personal information you choose to include in those communications.

Website analytics data

When you visit our marketing website, we may collect information about your visit, such as pages viewed, referral source, and general geographic region. See Section 7 for more detail on cookies and analytics.

5. How We Use Your Information

We use personal information to operate, maintain, and improve the Service. Specific purposes include:

  • Providing, synchronizing, and maintaining your invoicing data across your devices
  • Generating and delivering PDF documents (invoices, estimates, receipts, credit notes) to your clients on your behalf
  • Processing and managing subscription transactions
  • Authenticating your identity and securing your account
  • Detecting, investigating, and mitigating fraud, security risks, or technical issues
  • Sending administrative communications, such as password resets, policy updates, and service notifications
  • Responding to your support requests, bug reports, and feedback
  • Analyzing aggregated or anonymized usage patterns to improve the Service
  • Meeting legal, accounting, tax, and regulatory obligations

We do not sell your personal information or your clients' data to third-party data brokers or advertisers.

6. When We Share Information

We do not sell or rent your personal information. We may share information in the following circumstances:

Service providers

We work with third-party service providers who help us operate the Service. These may include providers of cloud hosting and infrastructure, authentication services, analytics and diagnostics, crash reporting, email delivery, payment processing, and customer support tools. These providers receive only the information reasonably needed to perform their services on our behalf.

Invoice Blaze remains responsible for personal information handled by its service providers, as required under applicable law.

Your clients

When you send a document through the Service, the content of that document (including your business details and your client's details) is delivered to the recipient's email address as you directed.

Legal requirements

We may disclose information when we believe in good faith that disclosure is required or permitted by law, regulation, court order, subpoena, or other legal process.

Safety and rights

We may disclose information where we believe it is reasonably necessary to protect the rights, property, or safety of Rokr Solutions Inc., our users, or others, or to prevent fraud or abuse of the Service.

Corporate transactions

In connection with a merger, acquisition, financing, reorganization, or sale of assets, personal information may be transferred as part of that transaction. If such a transfer occurs, we will make reasonable efforts to ensure the receiving party handles your information in a manner consistent with this policy.

With your direction or consent

We may share information in other circumstances where you have directed us to do so or provided your consent.

7. Cookies, Analytics, and Similar Technologies

The Service may use cookies, local device storage, and similar technologies for the following purposes:

  • Core functionality: Maintaining your authenticated session, storing application preferences, and enabling offline access in the mobile and web applications.
  • Analytics: Understanding how features are used so we can improve the product. Analytics tools may collect device and usage information in anonymized or pseudonymized form. We do not send your invoices, client details, or financial records to analytics providers.
  • Diagnostics and performance: Crash reporting and performance monitoring tools help us identify and resolve technical issues. Error reports are processed to remove or minimize personally identifiable information before transmission where feasible.

You may be able to control certain cookies through your browser or device settings. Disabling cookies may affect the functionality of the web application. The marketing website (invoiceblaze.com) does not currently use third-party advertising or tracking cookies.

8. Payments and Subscription Providers

Paid plans may be processed through third-party providers, which may include RevenueCat, Stripe, the Apple App Store, or Google Play. These providers collect and process payment and subscription data under their own privacy policies and terms.

Invoice Blaze does not store full payment card numbers on its own servers. We may receive limited billing-related information from these providers, such as:

  • Plan type and subscription status
  • Transaction identifiers and receipt metadata
  • Renewal status and billing dates
  • Country or region associated with the purchase

This information is used to manage your subscription, provide access to paid features, and resolve billing inquiries.

9. International Transfers

Rokr Solutions Inc. is based in Canada. Your personal information may be processed or stored in other jurisdictions, including the United States, by our service providers. Those jurisdictions may have privacy laws that differ from the laws of your jurisdiction and may permit access by courts, law enforcement, or regulatory authorities under different circumstances.

We use contractual and organizational measures intended to provide a comparable level of protection for personal information transferred to or processed in other jurisdictions. However, no transfer mechanism can guarantee complete protection in all circumstances.

10. Data Retention

How long we retain information depends on the type of information and the purpose for which it was collected:

  • Active account data: Retained while your account remains active and for a reasonable period afterward to allow for reactivation or to address follow-up inquiries.
  • Financial, tax, and business records: Retained as needed to meet legal, accounting, audit, fraud prevention, and dispute resolution obligations.
  • Logs, diagnostics, and performance data: Retained for shorter or system-defined periods appropriate to their operational purpose.
  • Deleted accounts: When you request account deletion, your data is removed from active systems within a reasonable period. Copies may persist in backups for a limited time before final deletion, subject to legal obligations and technical constraints.

11. Security Safeguards

We implement administrative, technical, and organizational safeguards designed to protect personal information appropriate to the sensitivity of the information. These measures include:

  • Encryption of certain local data at rest on your device
  • Encryption of data in transit using TLS
  • Access controls and authentication requirements for cloud-stored data
  • Use of platform-provided secure storage mechanisms for sensitive credentials where available

No method of transmission over the internet or method of electronic storage is completely secure. While we take reasonable measures designed to protect your personal information, we cannot guarantee absolute security.

12. Your Privacy Rights

Depending on your jurisdiction, you may have the following rights regarding your personal information:

  • Access: You may request a copy of the personal information we hold about you. You can also export much of your data directly using the CSV export feature in the app.
  • Correction: You may request that we correct inaccurate or incomplete personal information. Many fields can be updated directly in your app settings.
  • Deletion: You may request that we delete your account and associated personal information, subject to any legal obligations that require us to retain certain records.
  • Withdraw consent: Where we rely on consent to process your information, you may withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.

When exercising your rights, please note:

  • We may need to verify your identity before processing your request.
  • Some rights may be limited by applicable legal or contractual requirements.
  • If you are an invoice recipient (End-Client), you should generally contact the business that issued the document first, as they control the information on it.

To exercise any of these rights, please contact us using the details in Section 16. Response timing may vary depending on the nature and complexity of the request.

If you are not satisfied with our response to a privacy request, you may have the right to contact the Office of the Privacy Commissioner of Canada or another applicable privacy regulator in your jurisdiction.

13. Children's Privacy

The Service is intended for use by freelancers, businesses, and adults. It is not directed to children under the age of 13, or under the age of majority where required by applicable law.

We do not knowingly collect personal information directly from children. If you believe that a child has provided personal information to us through the Service, please contact us using the details in Section 16 and we will review the matter and take appropriate steps.

14. Breach Response

If Invoice Blaze becomes aware of a security breach involving personal information that creates a real risk of significant harm, we will investigate promptly and take steps as required by applicable law.

Where legally required, we will notify affected individuals and applicable regulatory authorities. We may also maintain records of privacy incidents as required by law.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or for other operational reasons.

When we make changes, we will update the "Last updated" date at the top of this page. For material changes, we may also post a notice on our website or within the application. Your continued use of the Service after changes are posted constitutes acceptance of the updated policy, subject to applicable law.
